Scanning a Business CardOne great feature in Microsoft Dynamics 365 is the ability to create leads and contacts by scanning a business card!

If you stumbled upon this feature or were referred to it by a colleague or industry peer, you know that the business card scanner functionality can be pretty powerful.

The business card reader in D365 can improve efficiencies for salespeople.

It offers salespeople the ability to create records simply by scanning a business card using the D365 desktop or mobile app.


First, you want to ensure that this feature is enabled. It may already be enabled for you automatically, but if not, this step is important before you move forward. 

To turn it on, follow these steps:

  1. Login to your D365 desktop and click on the Settings icon and select Advanced Settings

  2. Navigate to Settings > Customizations and click on Customize the System
  3. Go to the Contact entity Forms area and open the Contact Quick Create form

  4. In the “Tab” block, click “Business Card.”

A pop-up will appear in the middle of your screen called “Field Properties.” Click on “Controls,” and then be sure that “AI Builder Business Card control” is enabled for your mobile device by filling in the dot under “Phone” for that row. By default, all three may be checked (Web, Phone, and Tablet), but if you plan to only use it for your mobile device, then deselect the others so that the business card scanner process is clear to all of your salespeople utilizing the feature.

Using it for mobile in today’s marketplace just makes sense. Our phones are more readily available and natural for business card scanning.

Even though many conferences have moved to the virtual space and most businesses are working completely remotely, it’s still good to utilize this feature for mobile.

It’s much easier to scan many business cards you may have piled up at your desk that you haven’t had a chance to scan until now, for example. Using desktop for it often feels clunky and inefficient. The picture quality is often poorer as well.

Once you enable this feature and go back to “Lead Quick Create,” you will see fewer lines of text and input fields on the D365 desktop version.


To utilize the business card scanner, follow these steps:

  1. Login to your D365 desktop or mobile app, and then click “Quick Create” > “Contact” or “Quick Create Lead”
  2. You should see a large button at the top that says “Scan Business Card.” If you are using the desktop version, you will utilize the same camera that you use for video conference meetings. If you are using your mobile app, you will use the camera on your mobile device. We recommend using the mobile app. It’s much easier and more natural than using your desktop version. Ellipses will appear in all of the blank input fields.

  3. When you click on “Scan Business Card,” it will enable your mobile device’s camera feature. Have that business card ready and scan away – it doesn’t matter if you take the picture horizontally or vertically. The way it fits the screen doesn’t make a difference in terms of analyzing the data.
  4. Once you’ve taken the picture, you should see a loading screen appear where the “Scan Business Card” option once appeared. When it’s done loading, the business card will appear in its place. Details will be filled out below. Any missing information you will have to add manually. “Save and Close” once you’re done to create your lead or save your contact.

That’s it – you’re done! This feature allows you to create a lead, contact, or even a custom entity!
